An Accumulative Record file shall be kept up-to-date on each student in the Shelby County
Schools. Each school shall provide for storage of Accumulative Records. The Department of
Instruction shall provide an updated list of items to be included in the student's accumulative
record.
Information recorded on Accumulative Records is confidential. Release of information (or any part
thereof) recorded thereon shall be in accord with and pursuant to the laws of the General Assembly
of the state of Tennessee, Public Laws of the General Education Provision Act of the U.S.
Government, and Policies of the Shelby County Board of Education ONLY.
If a student transfers to a school within Shelby County Schools, the accumulative record file should be forwarded to the receiving school.
The original health record, copies of student transcripts, test scores, and other information contained in a student's record shall be forwarded to a school or school system outside Shelby County Schools' jurisdiction to which the student has transferred upon request of said school or system.
Any student transferring from outside the system shall be admitted in accordance
with SCS Policy 6101 and State of Tennessee Minimum Rules and Regulations 0520-1-3-.03.
It shall be the duty of the principal to request records from the previous school.
Pending receipt of the student's records, the student shall be placed in the grade
or courses considered to be the most appropriate as determined by the information
available to the principal. In the event sufficient information is not available,
placement should be made based on diagnostic testing administered within the school.
The Student Services Department shall notify parents or guardians (or student
if 18 years old or older) in writing each year of their right of access to the
record of their child and of the proper procedures to follow. procedures to follow.
