Enrollment and Attendance Office

End-of-Year Attendance Procedures and Reminders

Let's prioritize consistent student attendance for the remainder of the school year. We encourage all staff to reinforce the importance of being present and work together towards a successful end to the academic year!

  • Teachers must continue to record daily attendance accurately through the final day of school, Friday, May 23rd.
  • Generate the "Attendance Today Report" to identify and resolve any data entry discrepancies.
  • Generate the "MSCS Absent by Minutes Present Report" to further identify and resolve any data entry discrepancies.
  • Print and retain the "Absentee Report" for official record-keeping.
  • Retain the student check-in log for official record-keeping.
  • Retain the student check-out log for official record-keeping.
  • Graduating Seniors: Effective the day following their last date of attendance through the remainder of the 2024-2025 school year (SY), mark all graduating seniors with the attendance code E0 (Excused Absence).
  • Note: All attendance reconciliation processes, reports, and records must be completed, appropriately labeled, and securely stored by Thursday, May 29, 2025.
  • Record Retention Recommendations:
    • When preparing to store 2024-2025 attendance records, it is recommended to separate and clearly label the student check-in log and the student check-out log.
    • Retain all substitute teacher rosters.
    • Print the "Smart Find Report" to verify substitute teacher rosters.

 End-of-Year Enrollment Procedures and Reminders

  • Online registration for the 2024-2025 school year is NOW OPEN.
  • Registration for the 2025-2026 school year is mandatory for all students and should be completed by May 23, 2025. Paper forms will not be accepted.
  • Parents/guardians are required to update student contact information, health records, and opt-in/out preferences during the online registration process.
  • Detailed registration information can be accessed at: https://registration.powerschool.com/admin/login/login.rails
  • School Actions to Support Registration:
    • To ensure information accessibility, please post registration times for parents in highly visible locations throughout the school and at all entrances.
    • Consider scheduling Registration Night(s) to support families through the enrollment process.
  • The Registration Team is required to attend refresher training sessions available on PLZ.
  • Please review the "Enrolling New Student Document" for guidance on new student enrollment procedures.
  • Kindergarten Age Requirement:
    • Children must be five years old on or before August 15th of the current school year to be eligible for kindergarten enrollment.
    • Five-year-old kindergarteners who have not been previously enrolled cannot be enrolled after the first 30 days of the school year.
    • Previously enrolled kindergarteners may be accepted at any time.

Summer Support Events

  • The Enrollment and Attendance team will offer registration support to MSCS families for the upcoming school year. Bilingual support will be available at the following locations and times:
    • Gaisman Community Center: Saturdays from 10:00 AM to 1:00 PM on June 7, June 21, and July 19.
    • Latino Memphis: Thursdays from 10:00 AM to 2:00 PM, June 5 through July 24.
  • We encourage parents to visit these convenient locations during the specified times to facilitate their enrollment process.

Drive-Up, Pop-Up Registration Day

The Enrollment and Attendance Team will be available to assist families with registration at the following locations:

  • Southland Mall (East End): Friday, June 6th from 9:00 AM to 11:00 AM 
  • Ed Rice Community Center: Friday, June 6th, from 1:00 PM to 3:00 PM.
  • Parent Welcome Center: Monday, June 9th, from 9:00 AM to 11:00 AM.

 School Choice Transfer

  • School choice transfer options remain available and should be strategically utilized for student recruitment, retention, and reclamation efforts (Recruit, Retain, and Reclaim).
  • Parents and guardians can access the application portal at: www.scsk12.org

Professional Development

  • The Enrollment and Attendance department will offer two weekly summer professional development sessions during June and July for school-based staff managing attendance. General Office Secretaries and Attendance Liaisons are required to attend both sessions to collaborate on best practices for student enrollment, registration, and attendance for the 2025-2026 school year. Specialized Education Assistants

Greetings, Leaders!

Please take a moment to review the Specialized Education Assistant’s summer schedule outlined below. Additionally, please allow SEAs to keep their devices over the summer for the purpose of completing asynchronous assignments.

SEA Summer Schedule:

  • May 27-29: Professional Development Days—SEAs will report to their school building and will complete SLA training asynchronously
  • May 30- SEAs will report to their SLA site
  • June 19: Juneteenth (District closed)
  • June 2 -June 30: Summer Learning Academy—SEAs work at their SLA site
  • July 1-3: Complete asynchronous assignments/virtual sessions
  • July 4: Independence Day (District closed)
  • July 7 - July 11: Complete asynchronous assignments/ virtual sessions
  • July 14 - July 18: Complete asynchronous assignments/ virtual sessions
  • July 21 - July 25: Complete asynchronous assignments/ virtual sessions
  • July 28-August 1: SEAs report to their home school

Beginning August 2025, students and teachers in grades 6-12 should expect updates to the look and functionality of the iReady platform.  You will be able to learn more about iReady Pro features beginning with this flyer.  Additional information will be shared beginning summer 2025.

DEADLINE - NIE End-of-Year Conference

The DEADLINE to complete ALL NIE End-Of-Year Conferences are as follows:

  • Central Office – June 13th 

IMPORTANT REMINDERS:   

  • The Goal Setting Conference AND Mid-Year Conference should be completed in its entirety BEFORE completing the End-of-Year Conference in PLZ.

Note: Staff who HAVE NOT completed the Goal-Setting Conference WILL need to do so.

The Mid-Year Conference is NOT required for NIE Partial plans and will not appear as a container to complete.

The deadline to complete all TEM Observation components has passed.  While there is no extension offered, Administrators may continue to complete observations until May 23.  After this date, ALL SY24-25 TEM plans will be archived.  

Once plans are archived, no further edits can be made.

TDOE SCHOOL LEADER TRAINING MODULES

Another year in the books!   

SCHEDULING LAB For all 9-12 master schedulers to attend on 5/29.  

 SCHOOL LEADER ASYCHRONOUS MODULES from the Department of Education:  The first Acceleration for All asynchronous module is now live on the TeachALL platform.  This module offers all school leaders an opportunity to reflect on how to ensure that all students have access to high-quality Tier I instructional materials and are progressing toward mastery of grade-level content.

You’ll hear from fellow school leaders who have successfully implemented the HQIM cycle of improvement and initiated structures and routines that foster deep collaboration among all educators.

Each module takes approximately 45 minutes to 1 hour to complete. TASL credits are available upon completion. You can access the module through our Best for All Central Learning Management System, Teach ALL as early as today.

Lastly, we’re excited to offer our second Acceleration for All Virtual Learning Calls in early June. Please see the date and registration information below.

MSCS Compass Updates & New Releases



Rollover is coming! During the summer, we will begin our rollover process for the start of the 25-26 school year. As a result, dashboards will stop refreshing and will resume in August. New users and employees with new school assignments will not have access until rollover is complete.

New Releases:

The Grades 3 and 4 Promotional Pathways Report is available in the MSCS Compass: Literacy Commitment Dashboard. This report provides school leaders with data related to tracking the promotional status of students who are in grades 3 and 4 according to Tennessee state law TCA 49 6 3115 and board policy 5013. The data will be refreshed daily at 6:00 AM. Elementary school administrators have access to this report. See the user guide here.

The Summer Learning Academy Dashboard has updated visuals in the Overview and Rising 4th Grade Attendance/Enrollment Report and will start populating new data on 6/2. These reports can be used to track trends in enrollment and attendance rates at the site and student level. The data will be refreshed daily at 12:00 PM. Site Administrators, Site Clerks, Mentors and Principals will have access. See the user guides here.

School Improvement Plan Training

PLC Coaches and school-level planning teams for Title I and non-Title I schools will engage in learning and/or receive a refresher on the requirements and updates for completing the Explore Data, Analyze Needs & Root Cause Analysis, Reflect to Plan, and Develop Plan sections of the school improvement plan. REPORTING NON-CAPITALIZED & CAPITALIZED ASSETS : Greetings, 

To make possible, easy, and accurate reporting, the Office of Asset Management is requesting that all departments that have made any equipment purchases of non-capitalized or capitalized equipment (a single item totaling $5000 or more) since July 1, 2024, please submit that information utilizing the Asset Disposition Form link below. 

Please complete the form in its entirety including quantity, description, serial number, manufacturer, and cost. 

Please submit this information to our office aAssetManagement@scsk12.org as soon as possible but no later than the EOB Friday, JUNE 20, 2025
